Ride the World Terms and Conditions - USA
The terms and conditions set out below are to explain the agreement that the client has with Ride the World LLP.
Your holiday contract. The contract will exist between you, the client and Ride the World (RTW). The person making the reservation is deemed the party leader and is responsible for all other guests within that party as named in the confirmation of booking invoice. The party leader is also then responsible for passing on all necessary information to other members of that party. The person making the reservation must be of 18 years of age or older.
Brochure accuracy. At the time going to press, all details outlined in the brochure or website are 100% correct. RTW cannot be held responsible for any changes that may take place beyond our control. RTW reserves the right to change any itinerary to best suit the interest of our guests.
Holiday Prices. At the time of booking, all prices quoted for UK costs are fixed and cannot be raised. UK costs are for the price of the holiday only. Any extras that are payable in the USA such as excursions, bike hire and any meals are not covered by this contract and may change without the control of RTW.
Payments. Upon making a reservation, the party leader agrees on behalf of all clients to pay RTW to the following terms. A deposit of £200 per person is required to reserve a holiday along with any required insurance premiums. Payment can be made either by cheque, credit/debit card (via PayPal) or balance transfer. The final balance as outlined on your confirmation invoice will be due eight weeks (56 days) prior to your departure date. RTW reserves the right to cancel any holiday that is not paid on time without further notice or debit the credit card used to secure the reservation for any final balance or costs incurred. No money previously received will be returned but will be used to cover all resultant costs.
Special Requests. Any special requests should be made at the time of booking. RTW will endeavour to meet these requests, however, cannot guarantee to do so.
Our Commitment. It is RTW’s goal to provide every guest with the holiday that is described on our website. If you feel at any time during your holiday you are not receiving the holiday that you have paid for then you must notify one of our USA staff immediately.
Amendments by RTW. In the unlikely event that RTW should have to alter the planned dates of a holiday, the following will be offered to the client in writing. It is the client's responsibility to contact RTW as soon as possible to accept either of the following:-
a) A full refund of the total amount of money received.
b) Another RTW holiday at the same price at a convenient date agreed.
RTW cannot be held responsible for changes outside its control.
Cancellation by RTW. In the unlikely event that RTW should cancel a holiday and no alternative can be offered, the client will be compensated to the total amount received by us, unless the cancellation is a result of non-payment.
Amendments by the client. Should any members of a party wish to amend their travel plans, RTW will assist in any way possible. Should a change of date of travel be requested then this is subject to the following terms:-
a) The new date of travel must be available as an alternative RTW holiday.
b) Any costs incurred to RTW to change the arrangement must be covered by the client(s).
Should none of the above be met, then the booking will be treated as a cancellation. Should any member of a party wish to transfer their booking to another person this can be done only if the following conditions are met:-
a) RTW is notified in writing before the date of departure.
b) Both clients accept joint and full responsibility for payment of or cancellation charges for the booking.
Cancellation by the client. Should a client wish to cancel a booking, written notification must be received from the party leader as soon as possible. From the date on which the written cancellation is received, the following charges will apply to compensate Ride the World for its estimated loses and expenses:-
More than 70 days: deposit only;
57 - 70 days: deposit + 10% of total cost;
43 - 56 days: 50% of total cost;
29 - 42 days: 70% of total cost;
0 - 28 days: 100% of total cost;
Flights. RTW does not offer flights as part of a holiday package. We will however advise the client of the most appropriate flights for a particular holiday and, where possible, assist with bookings. RTW takes no responsibility for monies exchanged between the client and an airline and will not be held responsible for industrial action taken by the airline or its contractors. RTW cannot be held responsible for anyone missing their flights or connections, whether this be the fault of the client or the airline. In the event that the client(s) or the party did miss a connecting flight it is important that our UK office is contacted to notify of any new flight numbers and times.
Accommodation. RTW agrees to provide the standard of accommodation as described on our website, brochure or other promotional information. RTW agrees to provide all guests with any specific configuration of beds and rooms however can only do so if notified at the time of booking. Should any member of a party be responsible for any breakages, loss or damage of a property or additional cleaning is required, a charge will be made locally or an invoice be sent on return to the UK. At all times during the holiday, guests are expected to have consideration for fellow travellers and third parties. If a client's behaviour is deemed detrimental to the health or enjoyment of other guests on the holiday, RTW reserves the right to omit the client from further group activities. No refund or compensation will be given and the client will be responsible for any additional expenses incurred by RTW as a result of the client's behaviour.
Ability to take part. It is the assumption of RTW that when booking a holiday, all members of a party have a reasonable level of physical fitness to take part. Should a guest be deemed not fit enough or have sufficient technical ability to ride with other guests, it is at the guide's discretion to refuse the guest to take part, especially if the health and safety of other guests or the client is deemed to be at risk.
Accidents. RTW is not responsible for any illness, injury or death while taking part in, or as a result of our holidays. In the event that any of the above should happen, RTW staff will do everything within their power to assist. It is each client’s responsibility to obtain travel insurance prior to departure. RTW recommend the insurance policy includes cover for extreme sports.
Bike Transportation. RTW staff are responsible for loading all vehicles and trailers whether it be for airport transfers or excursions. Staff will endeavour to minimise the risk of damage to a client's bike during transportation, however RTW cannot be held responsible for any bikes that within reason become scratched or damaged during transportation. All guests have the right to load their own bikes into RTW’s trailers.
Insurance. It is each client's responsibility to make sure that they have full insurance coverage. All insurance policies should be purchased at the time of booking or as soon as possible afterwards. Most insurance policies will refund any monies paid out in the case of a cancellation prior to departure or otherwise. It is important to check carefully all insurance policies purchased, to ensure sufficient coverage. All visitors to the USA are required by law to have sufficient medical insurance and may otherwise be refused entry to the country.
Medical Conditions and medication. Anyone with any severe medical condition should divulge this to our UK staff upon booking one of our holidays. Any other medical conditions should be divulged to our USA staff at the start of your holiday. Every guest is responsible for their own medication should they require it. Under no circumstances will any member of RTW staff accept to carry or pack any guests medication. All guests are required to have sufficient medical insurance and it is at RTW's discretion whether a guest is allowed to participate in our holidays should this not be the case.
Baggage Allowance. Most major transatlantic carriers will accept your bike as part of your luggage providing that you do not exceed the standard weight limit. This weight limit varies between airlines and it is your responsibility as the client to check these limits before departure. Some airlines may levy an additional charge for bike transportation.
Administration Charges. RTW reserves the right to levy an administration charge in certain circumstances. This includes returning property left in a foreign country. Should RTW be requested to make any specific journeys resulting from an injury, missed flights or lost luggage, RTW reserves the right to administer an additional cost to cover transportation costs, agreed in advance with the guest(s).
Passports. It is every guest’s responsibility to obtain the correct visa and have a valid passport. All UK residents can travel to the USA with standard British 10 year machine readable passport (MRP). Anyone who does not have a British passport should contact their nearest consulate. It is imperative that you have at least 6 months duration left on your passport from the date of entry to the USA.
Complaints. Should you or any member of your party have cause to complain about any part of your holiday this should be done immediately so that a quick and agreeable solution can be found to your problem. In the event that the problem cannot be fixed you should write to our UK office within 30 days of your return to the UK.
